Frequently Asked Questions

Choosing someone to support the financial side of your business is an important decision. These answers explain who I work with, how my services are structured, and what you can expect when working with me.

Who I work with

What kinds of businesses do you work with?

I primarily support small service-based businesses across Canada. This often includes:

  • Contractors, trades, and construction businesses
  • Consultants and independent professionals
  • Health, wellness, and training providers
  • Growing service companies with employees or subcontractors
  • Business owners managing multiple income streams, entities, properties, or locations

Industry matters less than fit. I work best with owners who value honesty, organization, clear communication, and professional guidance.

Your books do not need to be perfect. You simply need to care about building a healthier business and be willing to participate in the process.

What if I'm not sure what kind of support I need?

That is completely okay. Many business owners know that something feels disorganized, behind, or harder to manage than it should, but they do not necessarily know which service will solve the problem.

Start by telling me what is happening in your business. I will review the information you provide, ask any necessary questions, and recommend the service structure that makes the most sense. You do not need to diagnose the problem before reaching out.

Services and support

Can you help if my books are behind or disorganized?

Yes. Cleanup and catch-up work are an important part of my services. We begin by determining:

  • How far behind the records are
  • Which accounts and reporting periods are involved
  • What information is available
  • Whether previous work needs to be corrected
  • What needs immediate attention
  • What systems will help prevent the same problems from happening again

You do not need to clean everything up before contacting me. We start with where things stand and build a practical plan from there.

What services do you offer?

I offer three primary service pathways.

Financial Foundations & Cleanup is for businesses that need their books reviewed, caught up, corrected, rebuilt, or properly structured.

Ongoing Bookkeeping Partnership is for owners who want reliable monthly bookkeeping, reporting, and financial oversight from someone who pays attention and communicates clearly.

Bookkeeping, Operations & Systems Partnership combines ongoing bookkeeping with practical support improving the financial, administrative, and operational workflows behind a growing business.

Every business is different. The final scope is based on the condition of the records, complexity of the business, current priorities, and level of support required.

What is the difference between monthly bookkeeping and an operations and systems partnership?

An Ongoing Bookkeeping Partnership focuses primarily on keeping your financial records accurate, current, and organized. Depending on the agreed scope, this may include reconciliations, transaction review, GST/HST tracking, accounts receivable and payable workflows, payroll recording, financial reports, and coordination with your accountant.

A Bookkeeping, Operations & Systems Partnership goes further. It may also include support with:

  • Invoicing and payment workflows
  • Document and file organization
  • Software selection and implementation
  • Reporting and tracking systems
  • Process development and simple SOPs
  • Project or business-launch support
  • Regular planning and accountability meetings
  • Coordination among owners, employees, banks, accountants, and other advisors

This service is designed for growing businesses that need more than monthly transaction processing. It provides a collaborative partner who can help create structure and keep important work moving.

Do you provide general administrative or virtual-assistant services?

Administrative and operational support may be available when it connects with the financial organization, systems, or agreed priorities of the business. This might include invoicing workflows, payment tracking, document organization, software implementation, reporting systems, process development, or project coordination.

I do not offer unlimited or general virtual-assistant support as a standard service. Responsibilities are clearly defined in the proposal and service agreement so we both understand what is included.

Can you support a business with multiple companies, properties, or income streams?

Yes, depending on the complexity and scope. I can help business owners organize the financial records and workflows connected with multiple corporations, properties, revenue streams, locations, or lines of business.

These engagements usually begin with a detailed review. This allows us to identify which activity belongs to each business, determine what records and accounts are required, and create a more reliable structure for bookkeeping and reporting.

Separate legal entities generally require separate financial records. I will also collaborate with your accountant when tax or corporate-structure guidance is required.

Software, reports, and advisors

What bookkeeping software do you work with?

QuickBooks Online is my preferred bookkeeping platform because it works well for many small businesses and supports organized monthly bookkeeping, reporting, and accountant collaboration.

I may also support businesses using Sage, Wave, Xero, spreadsheets, or other cloud-based systems, depending on the condition of the records, complexity of the business, and work required.

I do not believe in changing software simply for the sake of changing it. If your current system is working well, I will work with what makes sense. If it is creating confusion, duplicate work, or unreliable reporting, I can review the setup and recommend a more suitable path forward.

Will I need to change my current software?

Not necessarily. I begin by looking at the system you already use, how the information flows through the business, and whether the resulting records are accurate and useful.

A change may be recommended if your current software cannot support the needs of the business, creates unnecessary manual work, or prevents you from receiving reliable financial information.

If a change is recommended, I will explain why, what the transition would involve, and how it would improve the bookkeeping process before anything is implemented.

Can you help select and implement other business software?

Yes, when the software connects with the financial, administrative, or operational systems included in our engagement. This may include software used for:

  • Invoicing and payment collection
  • Expense and receipt management
  • Payroll
  • Appointment or course registration
  • Document storage
  • Project or job tracking
  • Reporting and internal workflows

The goal is not to add more technology than the business needs. I look for practical tools that reduce duplicated work, support clear ownership, and can realistically be maintained by the owner and team.

Will you help me understand my financial reports?

Yes. I believe bookkeeping should help you understand your business, not simply produce reports that sit unread.

I explain financial information in practical language, point out items that appear unclear or require attention, and help you identify useful questions for your accountant or other advisors.

I do not provide tax, investment, legal, or assurance advice, but I can help you better understand the information available in your bookkeeping records.

Can you work with my accountant and other advisors?

Yes. I am comfortable collaborating with accountants, payroll providers, banks, financial advisors, and other professionals involved in your business.

My role may include maintaining organized records, gathering requested information, coordinating follow-up, and helping ensure questions are directed to the appropriate professional.

I do not replace the tax, legal, investment, or assurance services provided by a CPA, lawyer, financial advisor, or other licensed professional.

Do you file income tax returns or provide tax advice?

No. My services focus on bookkeeping, financial record organization, and business systems support. I do not prepare or file personal or corporate income tax returns, provide tax planning or legal advice, perform audits or assurance engagements, or act as a CPA.

I can help ensure your bookkeeping records are organized and ready for your accountant. I can also coordinate with your accountant to provide information, address bookkeeping questions, and record year-end adjustments.

Can you help with GST/HST?

Yes, bookkeeping support can include tracking GST/HST, reviewing the related accounts, organizing the required records, and preparing the bookkeeping information needed for filing. The exact responsibilities will be identified in your proposal and service agreement.

Complex tax questions, tax planning, disputes, or decisions about how tax legislation applies to your specific circumstances may need to be directed to your accountant or another qualified tax professional.

Do you provide payroll support?

Payroll support may be available depending on the engagement. This can include:

  • Payroll system setup
  • Coordination with a payroll provider
  • Recording payroll activity in the bookkeeping system
  • Tracking payroll liabilities and remittances
  • Reviewing payroll reports
  • Overseeing the monthly payroll workflow

The exact division of responsibilities will be clearly defined. Some clients process their own payroll while I oversee the records and remittances. Others may use a third-party payroll provider that I help coordinate.

Pricing and project timing

How are cleanup and implementation projects priced?

Cleanup and implementation projects are quoted individually. Pricing depends on factors such as:

  • The period covered
  • Transaction volume
  • Number of bank and credit card accounts
  • Number of businesses or entities
  • Condition of the existing records
  • Software and implementation requirements
  • Payroll, GST/HST, accounts receivable, and accounts payable activity
  • The amount of investigation or rebuilding required

After learning about your business and reviewing the available information, I will provide a recommended scope, investment, payment schedule, and estimated timeline.

How much does ongoing bookkeeping cost?

Ongoing Bookkeeping Partnerships currently start at $300 per month for basic, well-maintained files with lower transaction volume and simple monthly requirements.

Final pricing depends on the complexity and level of support required. Factors may include:

  • Transaction volume
  • Number of accounts and credit cards
  • Payroll and GST/HST
  • Accounts receivable and payable
  • Job, project, property, or location tracking
  • Number of entities
  • Reporting requirements
  • Frequency of communication
  • Operational or systems support

After reviewing your needs, I will recommend a service structure and monthly fee based on the actual work involved.

Is bookkeeping software included in your pricing?

Software costs are addressed in the proposal so you can see what is included and what is billed separately.

In some cases, I may provide access to bookkeeping software through my accountant platform. In other cases, the business may maintain its own subscription. Any software costs, discounts, promotional pricing, or future price changes will be explained before we begin.

How long will it take to complete my project?

The timeline depends on the scope of the work, condition of the records, availability of information, and how quickly questions can be answered.

After the initial review, I will provide a realistic estimated timeline and identify any important milestones.

Some projects uncover additional issues after work begins. If that happens, I will explain what was discovered, how it affects the scope or timeline, and what I recommend before proceeding with additional work.

Working together

What will you need from me?

I will need timely access to the information required to keep your records accurate and move the work forward. Depending on the engagement, this may include:

  • Bank and credit card statements
  • Access to bookkeeping and business software
  • Receipts and supporting documents
  • Sales and deposit information
  • Customer invoices and supplier bills
  • Payroll reports and GST/HST information
  • Loan or financing documents
  • Responses to questions about transactions
  • Contact with your accountant or other advisors

I will explain what is required, where it should be provided, and when I need it. Clear and timely communication helps keep the work accurate and prevents unnecessary delays.

How will we communicate and stay organized?

Email is generally used for regular questions, document requests, and updates. Scheduled phone or video calls may also be included depending on the service and level of support.

For larger projects or operational partnerships, we may establish shared folders, task lists, regular meetings, or other agreed systems to keep information organized.

I aim to create a communication process that is clear and manageable without adding unnecessary meetings or complicated tools.

How quickly will you respond?

I typically respond to emails and client messages within one to two business days.

Some questions require investigation or information from another person before I can provide a complete answer. In those situations, I will acknowledge the request and let you know what is required next.

Response expectations for urgent or time-sensitive operational support will be discussed and documented as part of the engagement.

Do you work with clients outside Prince Edward Island?

Yes. I am based in Summerside, Prince Edward Island, and support businesses across PEI and throughout Canada.

Most bookkeeping and systems work can be completed remotely through cloud-based software, secure document sharing, email, telephone, and video meetings.

Availability may depend on the business’s location, software, time zone, regulatory requirements, and complexity.

Will my information be kept confidential?

Yes. Your financial and business information is treated as confidential and is only accessed or shared as required to complete the agreed services.

When collaboration with an accountant, advisor, employee, or other professional is required, access and information-sharing responsibilities will be confirmed with you.

Clients are also expected to use appropriate methods for sharing financial records, passwords, and other sensitive information rather than sending confidential credentials through ordinary email or text messages.

Getting started

Are you accepting new clients?

I am currently accepting inquiries and booking new client projects for January 2027. Reaching out early gives us time to determine fit, review the scope, and plan an appropriate starting date.

The availability of ongoing monthly or operational support depends on the needs of the business and my current capacity.

How do we get started?

Begin by completing the client inquiry form and telling me about:

  • Your business
  • Your current bookkeeping setup
  • What feels behind, unclear, or difficult to manage
  • The services you believe you may need
  • Your preferred timeline

I will review your inquiry and respond within one to two business days. If the work appears to be a good fit, I will invite you to schedule an initial conversation. From there, I may request additional information or a file review before preparing a recommended scope, pricing, and next steps.

Still wondering where to start?

You do not need to diagnose the problem before reaching out. Tell me what is happening and I will recommend a clear next step.
